General

You need to create your company logo in Bitmap format. Copy this bitmap file to \RTPro\bmp\logo.bmp. This logo will print on the Checkout Sheet, Checkin Sheet, Invoices, Labor Tickets, and few other printouts.

No, we suggest to use the Suspend Rtpro mode, This is the Lock button on the Exit option in the main menu of the program. This way you can login back to the program without exiting it.

Yes, you can send any reports including Quote and Invoices by first viewing them on the screen, then clicking on the Email icon from the preview screen. RTPro works with Microsoft Outlook and Netscape, also any email program that uses MAPI or SMTP. You may need to setup RTPro to work with your email system. To do this, form the main screen of RTPro select File, then select Email Settings, and fill in the required information.

Yes, you can save any RTPro reports by first viewing them on the screen, then clicking on the Save icon.

You can save reports in the following formats:

  • Excel Document (*.xls)
  • RTF Document (*.rtf)
  • Text Document (*.txt)

Form the main screen of RTPro select Edit, then select Change Password. Follow the prompts on the screen.

Form the main screen of RTPro select File, then select Beep Settings. You can set different sound for Bad beeps and Good beeps. We have included 20 good beeps and 20 bad beeps. If you want to add a different beep, find any WAV file and copy it to \RTPro\wav\GoodBeep.wav and \RTPro\wav\BadBeep.wav

RTPro works with cameras that have a TWAIN compatible driver. Install the driver provided by the camera manufacturer. Then form the main screen of RTPro select File, then select Camera Selections. Select the driver from the list, and click on Select. If the driver is not showing on the list, try re-installing the driver, and make sure it is TWAIN compatible.

  1. After setting the scanner to "Active Sync" mode, put it on the cradle.
  2. Windows Mobile Device Center pops up on computer.
  3. From within WMDC select "Set up your device" them select "Files" and hit Next.
  4. Then put a name for your device and press Set Up.
  5. When partnership established, on the main screen of WMDC select "Mobile Device Settings" and select "Manage a Partnership"
  6. Select "Replace items on desktop" for conflict section and press Save.
  7. Run RTPro, Open Barcode Batch Screen.
  8. Select "Scanner Setting" from File menu and select "Symbol MC9000G" as scanner and press OK.
  9. Select "Active Sync Settings" from File menu and make sure your device is listed on the left side and checkbox is checked on the right side (Synchronize Files)
  10. Select "Upload from File" from Action menu.

Administration

Rental Tracker Pro is a multi-user system. It will allow you to create ids for multiple people to use the system. This will give you control on what features and functions an individual can perform using Rental Tracker Pro. Initially, when in new user is created, they are given FULL rights throughout the system. The reason they were given this ability is because there are many functions within the system that the typical user may not understand how to use them. As each person's job function is defined, then the user security can then modified to fit the business.

From the Administration Module, select Move from the menu, then select Move Order to Another Production. Enter the Order Number and the Production to move the order to and press OK.

You need to mark the production as Closed from the Production Entry Screen. Then from the Administration Module, select Move from the menu, then select Move Closed Productions to History. You can then move all the productions that are closed to History files. This will make your live data smaller.

From the production Entry Screen, mark the production as Inactive. Every time an item is being checked out to an inactive production, program displays a warning message and reminds you that the production is inactive.

Inventory

First you need to find out what the barcode number was. If you know what production returned the item, then go to the checkin by production. Filter the list to show the items that are not returned. Look at the description of the item to find the barcode. Checkin the barcoded, then go to the inventory screen and select this barcoded item. From the Add Item menu option, select Reassign Barcode, and assign it a new barcoded item.

From the Inventory Screen, click on the Filter Records Icon. Enter any information regarding the item like category, color, pattern, material, or any keywords from the description. Program will search through your inventory and brings all the items that match your given criteria and display them.

When checkin in the item, check it in as Loss. This will retire the item and optionally bill the customer for the loss.

Order Processing

  • Empty No items are checked out
  • Active Some items are checked out, nothing returned.
  • PartRet Some items are returned
  • Returned All items are returned
  • RetBilled All items are returned and order is billed at least once.
  • Billed Order is billed at least once.
  • Closed All items are returned, and order is completely billed.

No. There is an option under the Management Screen for Move Order to a Different Production. Use this option instead of deleting and recreating the order.

You need to cancel the checkin on that item, then set the checkin mode to Damaged (from the drop down on the top of the checkin screen), and checkin the item again. This time the item will be checked in as Damaged, and will ask you for the repair cost.

From the Order Processing screen, click on the File menu. The list of the last 10 orders that you worked on appears. Click on the one you want.

RTPro Procedure Steps for Ordering Subrentals.

  • Create a new order
  • Proceed to the Rental Order Entry Screen.
  • Order all equipment (Both your gear and subs)
  • Next you will need to tell which of the items ordered are subrentals
  • Click on Subrentals
  • Click on the Subrental Picklist
  • Enter in the quantities to be subrented for the 1st vendor
  • At the bottom of the screen select the vendor
  • On the PO field click on the drop down
  • A list of PO's for the vendor appear. Click on the + to add a new PO
  • When the PO screen comes up, Click on save and select the PO
  • You will be back on the picklist. Select F3 to update your subrentals.
  • Continue to order if more vendors
  • When done order subs print your PO for the vendor
  • Also verify if you are making any money for the subs by looking at a Cost sheet
    • To print a cost sheet, exit out of the Rental Order Entry screen
    • You will be back on the Currently Working on Order Screen
    • Select Reports, Select Cost Sheet, Preview your report. This will show you what the vendor is charging you and what you are charging the customer
  • If subrentals need to be adjusted, go back to the Rental Order Entry Screen.
    • Click on Subrentals
    • Click on Subrental records
    • Arrange your grid to make it easier to see values
    • Adjust pricing and lock in. There is a Vendor Side and a Customer Side
    • Reprint the PO if changes made

There are a few ways to do this:

Go to the reports module, select statistical reports, select subrental statistical report. Enter in your criteria. You can choose summary or detail.

Another way is to go to the Inventory module, select rental menu, select equipment rental history, checkmark include subrentals. You can then sort your data and export to excel.

There is also the Subrental Return list. From the Reports Module, select Management, select subrental return list.

Billing

You need special rights to do this. If you do have this right, then you can change the Billing Type of the order to be 'No Further Bill' on the Order Header Screen.

From the Billing Module, and under the Reports section run the Orders To Bill Report. This will give you the First Billing, Extended Billing, Loss, Damage, Cleaning and Labor charges.

Reports

Yes. Under the Reports menu we have Revenue Generated Reports (hard dollars). You can run this report for a certain Parent, a Production or for a Production Type.

RTPro prints 'Page 1 of 3' on the top right of each page on the reports. The first time through, program finds the total number of the pages on the report, in this case 3, then the second time through it generates the actual report.

We have a report for this in the Reports section of RTPro under Rentals/Operations, called Past Due Orders.
